Site & Setup Requirements

Smoked Festival operates as a cashless event. If your activation takes payment on site, you must have a point of sales system that records sales (e.g. Square or similar). Accepted activations are placed at the discretion of Capricorn Events.

Include your preferred dimensions and any relevant notes about your footprint.
You must supply your own leads. All leads require current test & tag. Power boards must have circuit breakers.
All activation operators must hold and display a minimum $20M Public Liability Insurance policy. Rides, amusements and mechanical/inflatable equipment must also hold current engineering/safety certification, see documents below.

Important Information & Terms
Important Information
  • The Site fee will be 15% of your gross takings for the duration of the festival (where applicable).
  • Activation sites are limited and subject to approval.
  • Site allocation is determined by Capricorn Events.
  • Operators are responsible for providing their own equipment unless otherwise agreed.
  • All structures, rides and equipment must be suitably weighted, secured and, where applicable, currently certified.
  • Operators must be ready to trade/operate during the advertised event hours.
  • Vehicles may only access the site during approved bump in and bump out periods.
  • All electrical equipment must be current test and tagged.
  • Operators must comply with all relevant safety requirements for their activation type.
  • Operators must keep their site clean and safe throughout the event.
  • Large rubbish bins will be provided by the event organisers.
  • Smoked Festival operates as a cashless event.
  • Additional operational requirements may be communicated prior to the event.
Terms and Conditions
  • All activation operators must hold current Public Liability Insurance and provide the required documentation as part of their application.
  • Operators running rides, inflatables or mechanical/amusement equipment must provide current engineering/safety inspection certification prior to the event.
  • Submission of an application does not guarantee acceptance. Applications will be reviewed by the Event Organiser and successful applicants will be notified following assessment.
  • Operators are required to be fully operational during the advertised trading hours of the festival unless otherwise approved by the Event Organiser.
  • The Event Organiser reserves the right to allocate sites at its sole discretion and may amend site allocations where operational requirements necessitate.
  • Operators must comply with all reasonable directions provided by Capricorn Events, event staff, contractors and venue management.
  • Where an activation takes payment on site, the operator must have a point of sales system that records sales. For example, Square or a similar system.
  • Your gross taking report (where applicable) must be submitted within 3 days after the event has finished.
  • Operators are responsible for supplying all equipment required to operate their activation unless otherwise agreed.
  • All electrical equipment used on site must be current test and tagged and comply with applicable safety requirements.
  • Operators must comply with all safety, health and council requirements applicable to their activation and the event.
  • Operators are responsible for maintaining their site in a clean and safe condition throughout the event.
  • Large rubbish bins will be provided by the event organisers. Operators must dispose of rubbish responsibly using the bins provided.
  • Operators are responsible for taking all reasonable precautions regarding the security of their stock, valuables, equipment and personal property.
  • Capricorn Events accepts no responsibility for loss, theft, damage or injury arising from participation in the event, except where required by law.
  • Capricorn Events makes no guarantee regarding attendance numbers, customer spending, sales performance or profitability. The event will proceed in all weather conditions unless deemed unsafe by the Event Organiser or relevant authorities.
  • The Event Organiser reserves the right to modify event operations, site allocations, activation requirements or event layouts where necessary for operational, safety or compliance reasons.
  • Failure to comply with these Terms and Conditions may result in removal from the event without refund.
